ShuttleFlow is a badminton queue, court and ranking platform operated from the Philippines by its developer, Ian Concepcion. This policy explains what we collect, why we collect it, where it is stored, who processes it, and how to delete it. It covers shuttleflow.ph, shuttleflow.club and the installed app.
What we collect
- Account information — your email address and display name when you register. If you sign in with Google, we receive your name, email address and profile picture from your Google account. That is the only Google data we request; we never ask for access to Gmail, Drive, Contacts or anything else in your Google account.
- Profile information — skill level, country, club memberships and an optional profile photo you upload.
- Gameplay data — match results, scores, queue and court activity, session history and fee records from the sessions you join. This is tied to your account so we can show your statistics and rank you.
- Names entered by Queue Masters — a Queue Master types player names into their roster, and those names may belong to people who do not have an account. They are visible to that Queue Master, to the players in that session, and to anyone the Queue Master gives a read-only shared queue link.
- Notifications — if you turn on push notifications we store a device token from Firebase Cloud Messaging so we can deliver them. Turning notifications off in your browser stops delivery; the stored token is deleted when you delete your account.
- Diagnostics and usage — error reports through Sentry, configured not to send personal identifiers; anonymous page-view statistics through Google Analytics; and product analytics through PostHog: which screens and features are used, plus session replays in which every form field is masked. Replays are not recorded on low-end devices.
What is public
- The rankings leaderboard can be viewed without signing in. It shows your display name, profile picture, skill level, club, country, points, and your games, wins, draws and losses. Leaderboards from completed seasons are archived and stay viewable.
- A shared queue link shows the roster names, court assignments and match results of that session to anyone who has the link.
What we do not do
- We do not track you across other websites or services.
- We do not sell, rent, or share your data with advertisers, and we show no advertising.
- We do not access anything beyond what you explicitly provide to ShuttleFlow.
How we use your data
To run queues, courts and fee tracking during a session; to compute your statistics and rankings; to keep your data in sync across your devices and working offline; to send the session recaps and notifications you have enabled; and to find and fix bugs.
Where your data is stored
Account, profile and gameplay data are stored in Firebase (Google Cloud): Firebase Authentication, Realtime Database, Cloud Storage for photos, and Cloud Messaging for notifications. Error reports are processed by Sentry, page-view statistics by Google Analytics, and product analytics by PostHog. The website is hosted on Railway. Your device also keeps a local copy of your session data in browser storage so the app works offline. We do not use advertising cookies.
Data retention and deletion
We keep your data while your account exists. You can delete your account yourself at any time: open Settings → Delete Account. This removes your profile, your current-season ranking entry, your session history, match history, created-sessions index, notification tokens and app data, and removes you from your clubs.
Some records are not removed automatically: your entry in archived leaderboards from completed seasons; your name and results inside session records kept by Queue Masters, including sessions you ran yourself; your achievements and head-to-head records; and any profile photo you uploaded. To have these removed, email ian.concepcion.dev@gmail.com with the subject "Delete my data" and the email address you signed up with. We complete deletion requests within seven (7) days.
Google user data
ShuttleFlow's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use your Google name, email address and profile picture only to create and display your ShuttleFlow account.
Children
ShuttleFlow is not directed at children under 13. If you believe a child has created an account, email us and we will remove it.
